Refunds and Credits
By registering for an Epic Races event, you have purchased a ticket to participate in one of the most exhilarating and enjoyable races in Southeast Michigan. As with a ticket to any sports or entertainment event, there are no refunds and no credits if you are unable to attend for any reason. If you miss seeing Sting perform because you were sick, injured, or stuck at your in-laws’ dinner party, the concert hall won’t give you your money back or credit you for a ticket the next time Sting visits Detroit on tour. Epic Races requires you to accept our refund policy in order to complete the registration process for all of our events and you are given 15 minutes to clear your registration should you choose to cancel.

Refund Policy
There are no refunds or credits should you choose to change your registration to a less expensive event.

Registration Cancellation
Participants are given a 15-minute cancellation window immediately following registration for any of our events. During this time, a participant may log back into his/her Run Sign up account and cancel the new event registration without penalty and with a refund of the race-entry fee. Once these 15 minutes have passed, all registrations are subject to Epic Races’ Refunds and Credits policy.

Transfers
Epic Races also offers a generous transfer policy, which allows you to transfer your registration to another athlete if you can no longer participate in your registered event.

To transfer your registration to another person, follow these steps:

>Sign in to your Run Sign Up account.
>Go to My Registered Races, find the event, then select Manage Registration.
>Select Transfer to Another Runner.
>Input the other runner’s information in the required fields.

The new runner will be guaranteed a spot in the event, regardless of whether or not it has sold out. Please note that there is a $15 transfer fee that will be charged at the time of transfer, in addition to a Run Sign Up processing fee.

Transferring to Another Event (sprint to mini-sprint, tri to du, etc.)
To transfer your registration to another Epic Races event, follow these steps:

>Sign in to your Run Sign Up account.
>Go to My Registered Races, then select Manage Registration.
>Select Transfer to Another Event.
>Confirm that you have selected yourself and the correct event.
>In Select a New Event, decide which event you wish to transfer into, then click that button.
>Review the transfer information, ensuring that your T-shirt information is correct.
>Click Transfer Registration.

 

Epic Races Gift Certificates
Epic Races offers gift certificates for sale at our open houses and at other times of the year. Epic gift certificates’ expiration dates are listed on the certificate itself. Epic gift certificates:

>are valid only through their expiration date
>cannot be extended beyond their expiration date
>can only be used online, not at race day registration
>cannot be used for online event registration within two weeks of that event
>cannot be transferred to a different Epic Races event if race specific
>cannot be applied retroactively to a registration
>cannot be replaced if lost

Should the holder of a gift certificate be unable to use the certificate or be unable to attend the race specified on the certificate, he or she may sell it to another party as long as the other party understands when the certificate expires.

As with a ticket to any sports or entertainment event, there are no refunds and no credits if you are unable to use your certificate or code and attend. See our Refunds policy for further details.

Epic Races Discount Codes
Epic Races offers discount codes to sponsored clubs and organizations, to vendors, and to individuals registered in our Volunteer Race Rewards programs. Epic discount codes:

>are valid only through their expiration date
>cannot be extended beyond their expiration date
>can only be used online, not at race day registration
>cannot be used for online event registration within two weeks of that event
>cannot be transferred to a different Epic Races event if race specific
>cannot be applied retroactively to a registration

As with a ticket to any sports or entertainment event, there are no refunds and no credits if you are unable to use your code prior to its expiration date or if you are unable to attend the event for which you used your code. See our Refunds policy for further details.

Participation with Strollers
Epic Races welcomes parents with jogging strollers to participate in our running events. Please note that, if you are participating with a stroller, the following guidelines must be followed:

>Your child must remain securely fastened inside the stroller while on the course for safety and insurance reasons.
>You must keep your stroller to the right side of the race course, to allow a clear path on the left for runners and walkers. >No weaving in and out of the other participants is allowed.

USAT Membership
If you are not a current USAT member, you can register online at www.usatriathlon.org or purchase a membership during online registration. You must be a USAT member in order to participate in Epic Races triathlon and swimming events. A one-day adult membership costs $15; an annual adult membership — highly recommended if you plan to do more than three events in a calendar year — costs $50.

One-day USAT memberships are only valid for the single event for which they were purchased. Please note that, when registering on race day, USAT only accepts cash or checks for the purchase of one-day memberships. As of January 1, 2016, USAT only offers annual youth memberships; these cost $10 each. There are no longer one-day youth memberships.

Weather
Races are held rain, snow, or shine and will not be canceled except for cases of severe weather. The Epic Races management shall evaluate weather conditions and make an appropriate determination regarding initiation, cancellation, or continuation of the race in question. Such determination shall be based on prudent consideration by the Epic Races management in conjunction with local law enforcement and/or other officials.

Consistent with USAT recommendations, refunds and credits will not be provided if a race is canceled due to inclement weather. This is consistent with the professional protocol of the USAT, promoting the sharing of risk in multi-sport competition.

In the event of inclement weather or unforeseen circumstances, Epic Races reserves the right to alter, cancel, or eliminate any/all portions of the race or to make any modification concerning the time, length, or nature of the event.

Should severe weather result in a race delay during the course of a race, finish times will not be adjusted, as per USAT rules.

Confirmation of Registration
If you cannot find your name on our alpha list, you will need to produce your confirmation email (printed out, please!) to verify that you are indeed registered for this event. If you cannot present your confirmation email, you will need to register at race-weekend rates in order to participate.

Authorization for Use of Picture and Feedback
Any images captured of you on race weekend may be used by Epic Races for promotional or business purposes. By registering, you consent to said images being used by Epic Races for any promotional or business purposes.

Any comments or feedback made by you regarding Epic Races or an Epic Races event may be used by Epic Races for promotional or business purposes.

SASE Epic Races awardsMailing Race Items
Race shirts unclaimed at Packet Pick-Up will not be mailed out to registered participants who were unable to take part in any Epic Races event. Likewise, awards will not be mailed out to age-group winners who did not stay for their event’s awards ceremony.

Participants who wish to receive their race items must send a self-addressed, 9 x 12 (or larger!) shipping envelope (not a legal envelope!) with $5 postage (unless otherwise stated in an event’s FAQs or post-race email) affixed to the upper-right corner of the shipping envelope to Epic Races, 600 S. Wagner Road, Ann Arbor, MI 48103. Our Race Items form must be included with the shipping envelope in order for the item to be mailed out. Shirt sizes are not guaranteed once the event has been completed. Sorry, but our finisher’s medals are reserved for participants who actually complete our events.

 

 

Dogs on the Course
We love dogs! However, dogs may not participate alongside their owners in our races. Our insurance policy prohibits dogs from being on our race courses due to safety issues, the exception being certified assistance dogs (see below). Many of our events take place in state parklands, where there are strict rules prohibiting dogs in the water and on the beaches (the park rangers will ticket you if you have your dog on the beach or in the water). We also have participants with severe dander allergies as well as participants with lung conditions, asthma, and other health issues. In order to keep our races open and enjoyable to all participants, please leave your dog safely at home.

If you require a service dog, please let us know at info@epicraces.com. Service dogs are indeed allowed but must be certified, must wear their official service-dog vest, and must be on a six-foot (or shorter) leash at all times.

Race Injuries
Epic Races is not liable for any injury sustained by the participant during the course of training for, preparation for, or participation in an event or any injury occurring to the participant following the event.

Lost, Stolen, or Damaged Property
Epic Races is not liable nor responsible for the loss or theft of, or damage to, any participant’s or spectator’s personal property during the course of training for, preparation for, or participation in an event or occurring following the event.

Agreement to Terms and Conditions
By registering, attending, and/or participating in any Epic Races event, the participant agrees to any and all conditions, policies, and procedures as set out by Epic Races and acknowledges their having been informed and understanding of the same. The participant additionally acknowledges that Epic Races may, at its discretion, change, modify, add to, or delete any condition, policy, or procedure, and that the participant, understanding the possible occurrence of such action, does hereby agree to any and all current or future policies and procedures required by Epic Races for the participant’s engagement in any activity hosted by said company.

Rejection of Entries
Management reserves the right to reject a race entry for any reason.
