All entry fees are non-refundable. That means that once we receive and accept your entry, you will not receive a refund if you cannot participate. Epic Races, in accordance with management executives, city officials, and local law enforcement has the authority to cancel any of the events for emergency purposes such as, but not limited to, inclement weather, threat of terrorism, or a pandemic. If such emergency conditions force cancelation, refunds, cannot be provided since funds will have been spent in preparation for race day.
However, if you purchased insurance from Allianz during registration, and you cannot race because of one of their covered reasons, you may put in a claim for a full refund.

Some of our races offer a refundable race option. If you made this selection during registration and would like to cancel, and it is more than 3 weeks before your race date, send an email to helpdesk@epicraces.com letting us know you would like to cancel your race and we will process the refund. Refunds will not be given within 3 weeks of the race date.
If we do find ourselves with extraordinary circumstances and do need to cancel, we will do our best to give you full value for your entry fee. We will give you options which may include doing your race virtually, deferring to the following year, switching to another Epic Race, and in some cases, we may be able to postpone the race.
Please note: We love what we do and what we do is put on events. After months and months of planning, coordinating, and making our very best effort to create a race experience that we consider the best of the best, the last thing we ever want to do is cancel a race. We also understand that athletes devote a significant amount of their time, money, and effort to preparing for a race. If we need to make the difficult decision or are mandated to cancel, it’s a great disappointment for us and we know it’s a great disappointment to you. Unfortunately, though, that is the risk we share. You may feel you are entitled to a full refund in this situation, but this is not feasible given the costs incurred by race day. At the time, your money is in the form of permits, police detail, medals, awards, T-shirts, food, salaries, rent, nonrefundable deposits for entertainment, and so much more. If you can’t accept the terms of this partnership, we respectfully ask that you don’t register for our events. You are allowed to defer your race entry up to 3 weeks before race day.

Participants are given a 15-minute cancellation window immediately following registration for any of our events. During this time, a participant may log back into his/her Run Sign up account and cancel the new event registration without penalty and with a refund of the race-entry fee. Once these 15 minutes have passed, all registrations are subject to Epic Races’ Refunds and Credits policy.
Epic Races also offers a generous transfer policy, which allows you to transfer your registration to another event within the race, another Epic Races within the same year, or another athlete. (Please note some of these transfers have fees associated with them.)
Epic Races offers gift certificates for sale at our open houses and at other times of the year. Epic gift certificates’ expiration dates are listed on the certificate itself. Epic gift certificates:
- are valid only through their expiration date
- cannot be extended beyond their expiration date
- can only be used online, not at race day registration
- cannot be used for online event registration within two weeks of that event
- cannot be transferred to a different Epic Races event if race specific
- cannot be applied retroactively to a registration
- cannot be replaced if lost
Should the holder of a gift certificate be unable to use the certificate or be unable to attend the race specified on the certificate, he or she may sell it to another party as long as the other party understands when the certificate expires.
As with a ticket to any sports or entertainment event, there are no refunds and no credits if you are unable to use your certificate or code and attend. See our Refunds policy for further details.
Epic Races offers discount codes to sponsored clubs and organizations, to vendors, and to individuals registered in our Volunteer Race Rewards programs. Epic discount codes:
- are valid only through their expiration date
- cannot be extended beyond their expiration date
- can only be used online, not at race day registration
- cannot be used for online event registration within two weeks of that event
- cannot be transferred to a different Epic Races event if race specific
- cannot be applied retroactively to a registration
As with a ticket to any sports or entertainment event, there are no refunds and no credits if you are unable to use your code prior to its expiration date or if you are unable to attend the event for which you used your code. See our Refunds policy for further details.
Epic Races welcomes parents with jogging strollers to participate in our running events. Please note that, if you are participating with a stroller, the following guidelines must be followed:
- Your child must remain securely fastened inside the stroller while on the course for safety and insurance reasons.
- You must keep your stroller to the right side of the race course, to allow a clear path on the left for runners and walkers.
- No weaving in and out of the other participants is allowed.
Races are held rain, snow, or shine and will not be canceled except for cases of severe weather. The Epic Races management shall evaluate weather conditions and make an appropriate determination regarding initiation, cancellation, or continuation of the race in question. Such determination shall be based on prudent consideration by the Epic Races management in conjunction with local law enforcement and/or other officials.
Consistent with USAT recommendations, refunds and credits will not be provided if a race is canceled due to inclement weather. This is consistent with the professional protocol of the USAT, promoting the sharing of risk in multi-sport competition.
In the event of inclement weather or unforeseen circumstances, Epic Races reserves the right to alter, cancel, or eliminate any/all portions of the race or to make any modification concerning the time, length, or nature of the event.
Should severe weather result in a race delay during the course of a race, finish times will not be adjusted, as per USAT rules.
If you are not showing as registered for the race, you will need to produce your confirmation email to verify that you are indeed registered for the event. If you cannot present your confirmation email, you will need to register at race-weekend rates in order to participate.
In the event of inclement weather, the following procedure will be followed: The event will be postponed for 20 minutes in hopes the inclement weather will pass. If the inclement weather does not pass within this time frame. We will continue to postpone in 20 minutes time periods until 2 hours have passed. At that time, we will either change the format of the race to make it safe or cancel the race. Every effort will be made to carry on closest to the original plan. There will be no refunds if the reason for cancellation is beyond our control.
Any images captured of you on race weekend may be used by Epic Races for promotional or business purposes. By registering, you consent to said images being used by Epic Races for any promotional or business purposes.
Any comments or feedback made by you regarding Epic Races or an Epic Races event may be used by Epic Races for promotional or business purposes.
We love dogs, but for the safety and comfort of others, they are not allowed on the race course. They may spectate as long as they are on a leash.
Epic Races is not liable for any injury sustained by the participant during the course of training for, preparation for, or participation in an event or any injury occurring to the participant following the event.
Epic Races is not liable nor responsible for the loss or theft of, or damage to, any participant’s or spectator’s personal property during the course of training for, preparation for, or participation in an event or occurring following the event.
By registering, attending, and/or participating in any Epic Races event, the participant agrees to any and all conditions, policies, and procedures as set out by Epic Races and acknowledges their having been informed and understanding of the same. The participant additionally acknowledges that Epic Races may, at its discretion, change, modify, add to, or delete any condition, policy, or procedure, and that the participant, understanding the possible occurrence of such action, does hereby agree to any and all current or future policies and procedures required by Epic Races for the participant’s engagement in any activity hosted by said company.
Management reserves the right to reject a race entry for any reason.
